Position Summary:
The Project Programs Specialist is responsible for developing and coordinating museum programs, and educational events. This position is governed by state and federal laws and agency/institution policy
Duties & Responsibilities:
Exhibition Management & Curatorial Support
- Assist with preparation, installation, oversight, and deinstallation of exhibitions
- Support exhibition design and layout planning
- Create, order, and install exhibition vinyl and interpretive materials
- Pack, ship, and document outgoing exhibitions; coordinate return shipments
- Conduct exhibition photography for documentation and publicity
Administrative Systems & Data Management
- Assist in maintaining exhibition records, timelines, and checklists using Airtable or similar platforms
- Track participation counts for exhibitions, programs, tours, and events
- Organize digital files, images, and documentation in accordance with museum and university standards
Education, Events & Public Engagement
- Assist in scheduling and leading tours for classes, campus groups, and community visitors
- Assist in scheduling and assisting with public programs, lectures, and events
- Assist with campus-wide initiatives and interdisciplinary collaborations
Communications & Marketing
- Distribute email communications using Constant Contact
- Create and order exhibition handouts, postcards, and envelopes
- Assist with writing and distributing press releases
- Assist in coordination of radio interviews and media outreach
- Maintain and update museum website content (exhibitions, events, announcements)
Campus & Community Engagement
- Support relationships with faculty, academic departments, student organizations, and community partners
- Represent the museum at campus and community events as assigned
Knowledge, Skills, and Abilities
- Knowledge of museum operations, exhibition practices, and curatorial processes
- Ability to manage multiple projects and meet deadlines
- Strong written and verbal communication skills
- Ability to work independently and collaboratively in a small museum environment
- Proficiency with standard office software and digital platforms; ability to learn museum-specific systems
- Ability to handle artworks safely and assist with physical installation tasks
Knowledge/Skills/Abilities:
Knowledge of current practices in art museum programming
Knowledge of museum collections policies and procedures
Knowledge of research methods and techniques
Knowledge of photography and digital imaging procedures and practices
Ability to operate computerized museum cataloging system
Ability to operate digital camera equipment
Ability to organize records, files, and collections
Ability to handle fragile objects/artifacts
Ability to plan and coordinate special events
Ability to lead art workshops and tours
Ability to work independently as well as within a team
Experience in planning and presenting public programs related to the visual arts
Highly organized and efficient with all details and tasks
Excellent verbal and communication skills
Proficiency in the use of Microsoft Office applications and Adobe Suite
Familiarity with website maintenance preferred

Minimum Qualifications:
The formal education equivalent of an earned Bachelor's Degree in art education, art history, studio art, museum studies, or a related field (Master's Degree preferred)
Two (2) years of experience leading art tours, presenting art programs, working in an art museum or art education related environment
